Job Overview:

We are seeking a highly organised and proactive Client Liaison Officer to join our team. This role is crucial in ensuring efficient project management, excellent client relationships, and the successful execution of digital marketing campaigns. The Client Liaison Officer will be responsible for a wide range of administrative, client liaison, reporting, and project management tasks.

KEY RESPONSIBILITIES INCLUDE (BUT ARE NOT NECESSARILY LIMITED TO) THE FOLLOWING…

Administrative Responsibilities:

  1. Process Refinement: Continuously improve internal processes related to client reporting, content documents, and content vetting to enhance efficiency and effectiveness.
  1. Project Planning: Create and maintain project timelines and task lists using the workflow management app, Asana. You must balance the team’s workload and the client’s requirements for seamless project execution.
  1. Client Communication: Monitor the progress of client projects and regularly update clients on the status.
  1. Service Provider Communication: Managing jobs, timelines and turnaround times by regularly communicating and checking in with GNL service providers, to ensure the projects they’re involved with stay on track.
  1. Document Management: Organise and manage the cloud-based storage of GNL work files and information, to ensure easy access and retrieval as and when needed.
  1. Client Growth: Identify opportunities for new business with existing clients and collaborate with the GNL team to optimise performance on existing client accounts/work.

Client Liaison Responsibilities:

  1. Client Engagement: Build and maintain strong client relationships by providing regular project updates and exceptional customer service.
  1. Problem Identification & Resolution: Identify and respond to potential client concerns (ideally before they are raised by the client) and work towards swift resolutions to maintain client and service provider harmony.
  1. Ongoing Communication: Sustain regular communication with clients to ensure GNL remains top-of-mind and meets clients’ evolving needs.
  1. Expectation Management: Manage client expectations regarding project timelines and next steps.

Reporting Responsibilities:

  1. Data Compilation: Compile data required for client reporting (including public relations/media exposure analytics and digital messaging data).
  1. Data Presentation: Present data to clients in a clear and comprehensible manner, ensuring reporting documents are well-structured and understandable to clients (no jargon). 

Project Management Responsibilities:

  1. Quality Assurance: Conduct quality assurance checks on content before securing client approval.
  1. Project Handling: Manage multiple projects simultaneously, collaborating with cross-functional teams to ensure on-time delivery.
  1. Strategic Integration: Contribute to project conceptualisation, integrating strategic digital marketing considerations into all aspects of the work.
  1. Efficiency Improvement: Identify and resolve bottlenecks in the production process to enhance efficiency and deliverable quality.
  1. Client Communication: Efficiently relay client briefs, requests, and prerequisites to internal teams, providing guidance on core client needs.

Additional Responsibilities:

  • Assist with administrative tasks that require attention.
  • Arrange meetings and document meeting minutes.
  • Assign actionable items arising from meetings to appropriate team members.
  • Monitor project timelines and intervene as needed to keep projects on track.

Qualifications and Skills:

  • Bachelor’s degree in Marketing, Business, Communications, or a related field (preferred).
  • Proven experience in client management, project management, or a similar role.
  • Excellent organisational skills and attention to detail.
  • Strong communication and interpersonal skills.
  • Proficiency with project management tools like Asana.
  • A solid understanding of digital marketing strategies.
  • Problem-solving ability and adaptability in a fast-paced environment.
